How to Choose an Office Water Dispenser: A Practical Capacity Checklist

An office water dispenser can appear well suited to a team on paper and still struggle during the busiest part of the day. The issue may be chilled water recovery, slow dispensing, an inconvenient refill routine, or a queue where people are trying to prepare drinks together.

Choosing the right equipment starts with understanding how the office uses water. Headcount helps, but it does not describe the full workload. A useful brief combines occupancy, serving patterns, available supplies, and responsibility for daily care.

1. Count the people who actually use the station

Start with typical daily occupancy rather than the company’s total staff number. Include visitors and meeting-room demand if they will use the same station. For a flexible workplace, note the difference between a quiet day and a busy day when most people attend.

Also consider alternatives. If another water point serves part of the office, the proposed dispenser may handle only a share of demand. If it is the only station near the meeting rooms, visitor use may be more significant than expected.

This gives the supplier a more useful picture than “a dispenser for 30 employees.”

2. Separate daily volume from peak demand

Daily water volume matters for refill planning and consumable supply. Peak demand matters for the experience at the dispenser.

Consider a planning example: 12 people each fill a 250 mL glass during a short break. That is 3 liters requested in a concentrated period. This is an arithmetic illustration, not a recommended allowance or a performance claim for any product.

Ask whether the proposed model can deliver the required volume at the desired temperature over that period. A daily output figure does not answer the same question as chilled water available during a busy break.

3. Ask what the capacity figures actually mean

Product specifications may describe tank volume, hourly cooling output, dispensing flow, or recovery time. These figures represent different aspects of performance.

Tank volume should not be assumed to equal the usable chilled water available under every condition. Cooling output also needs context: incoming water temperature, room conditions, and the target dispensing temperature can affect the comparison.

Ask the supplier to explain which figure addresses your busiest period and under what test conditions it was measured. Where sparkling water is required, ask about that mode’s performance separately rather than assuming every dispensing option has identical output.

4. Match water choices to actual preferences

Decide whether the office needs chilled still water, sparkling water, hot water, or a combination. A wider feature list is useful only when it serves the people using the station.

A short staff survey can help identify preferences before procurement. Ask which options people expect to use and whether meeting-room service needs to be included. For sparkling water, include CO₂ compatibility and local replacement availability in the brief.

WINTEMP’s existing office refreshment articles introduce countertop drinking water applications. Capacity planning is the next step: confirm that the selected model fits the intended workload and supply arrangement.

5. Check the supply and refill routine

Confirm which water supply arrangements the selected model supports. A countertop format does not automatically establish whether a unit requires a fixed connection or can use another water source.

For any refill-based arrangement, plan who checks the supply, where replacement water is stored, and how it is moved to the station. For a connected installation, confirm the site requirements before ordering.

In both cases, identify any compatible filters or other consumables and ask how their replacement schedule is determined. Avoid assuming that every drinking water dispenser includes the same filtration capabilities.

6. Evaluate the station as a physical space

Measure more than the appliance footprint. Allow for the manufacturer’s ventilation and service clearances, access to controls, and the practical space needed to fill a glass or bottle.

Then look at the surrounding area. Where will clean glasses sit? Where will spills be dealt with? Can people waiting for water block a doorway or a route through the kitchen?

Two appropriately placed stations may suit some layouts better than one central station. Decide that from the actual floor plan and demand pattern, then assess the equipment required for each location.

7. Assign ownership before installation

Agree who will manage cleaning, replenishment, consumables, and service requests. Use the selected model’s instructions to establish the routine rather than borrowing a schedule from another appliance.

For purchasing teams, request installation information and maintenance requirements alongside the quotation. This allows the office to assess ongoing responsibilities as well as the initial purchase.

Prepare a brief with daily occupancy, peak servings, required water choices, available supplies, location measurements, and a named person responsible for care. Then explore WINTEMP’s water solutions and discuss the brief with the team before selecting a model.

Frequently asked questions

Can I choose an office water dispenser by headcount alone?

Headcount is a starting point. Peak use, serving sizes, visitors, required water options, and the availability of other stations also matter.

Is tank capacity the same as cooling capacity?

No. Stored volume and the rate at which water can be cooled describe different things. Ask for performance information relevant to your demand pattern.

What should be included in an office dispenser quotation?

Ask for the model and regional specification, installation requirements, relevant output figures and test conditions, consumables, maintenance information, and service arrangements.
